How can family members reach you without going through the secretary?
- Dial any telephone number in the district or the toll free number
- Enter the 4 digit voice mail extension
--Example: High School staff lives in Atlanta. Call any Atlanta number (main or auto attendant) or the toll free number and as soon as the greeting comes on enter the 4 digit voicemail extension.
Olympia Faculty/Staff Guidelines and Helpful Tips for Phones
- Check your name and voicemail message for clarity and "user friendliness". Re-record if necessary.
- Everyone should record a personal greeting; please do not use the default greeting.
- All classroom phones are to be set to silent and blink (or forwarded to voice mail) during class time.
- Please use 4 digit extensions when calling anywhere in the district; please do not use the external number for a school
- Personal long distance calls must be placed with a calling card.
- Phone questions/problems are to be reported to Technology Work Order link on the district website.
Recommend voicemail message:
Hello...you
have reached the personal
voicemail of
_______. I am not
available to take your call at this time, but please leave a
message, and I will get back with you as soon as possible. I
may not be checking my messages until all students are gone at the
end of the school day, so if this is an emergency, a transportation
issue, or something that needs immediate attention, please press
*to return to the school office. Thanks for calling

How to
Access
Voicemail
For all Staff with
Voicemail Extension on their phone
- Press Messages
- Enter Password
- Follow Prompts
For all Roaming Staff or Staff Without a Personal Phone
- Press Messages
- Press *
- Enter ID
- (4 digit voice mail extension)
- Enter Password
- Follow prompts.
Access Voicemail from Home:
- Dial any district number or toll free number
- Press *
- Enter ID (4digitvoicemail extension)

- Press Messages and access Voice mail
- Choose Setup Options 4
- Choose Greetings and Transfer 1

Set Volume of Incoming Level
- Pick up Handset
- Adjust volume to correct level
- Press Save
How to set Phone to Silent and Blink or any Ring Setting
- Press the Settings button.
- From the Settings menu, use the Navigation button to select Ring Type and press the Select softkey.
- If you have multiple lines, use the Navigation button to scroll through the list of your lines. When you find the line you want to configure, press the Select softkey.
- Use the Navigation button to scroll through the list of ring types and press the Play softkey to hear the selected ring type.
- When you find the ring you want, press the Select softkey to check the corresponding check box.
- Press the OK softkey to accept and save your ringer selection.
- Press the Save softkey to save all of your settings and to exit the Settings menu.
How to Use Extension Mobility
Note: you have to have your account setup by Technology before you can use the service.
- Press the Services Button
- Press 1 to Login
- Enter your User ID (your voicemail extension)
- Arrow down to PIN
- Enter your pin number (probably same as your voicemail password)
- Press Submit
Optional Features for Staff
Extension Mobility
This is an option that most OHS staff, some roaming staff, and teacher/coaches may find very useful. What is it?
- Gives a user the ability to log into a phone so the extension on the phone becomes their voicemail extension. Thus when someone calls their voicemail extension this phone will ring (outside of when the phone must be set to silent and blink) and the red light will appear when a message has been left.
- Anyone interested in using extension mobility MUST contact Paula Matthews or the tech help desk to schedule an appointment for training and account set-up (5-10 min).
- Note: This does not change anyone's ability to check messages from any phone in the district using the * message access. It also does not change the district policy that all classroom phones must be set too silent and blink during school hours.
Web Attendant
This is an option (primarily for secretaries and office staff) that allows a user to set up speed dials, see who is on the phone, and access the complete directory from their computer.
- Any staff can request this especially if they often call many companies or organizations outside the district.

Other features may be available for staff with special phone requirements.
