How to Use and Submit a Technology Work Order Online

Online Work Order User Guide for Technology


Staff:  It is very important that you fill out a Technology Work Order for all technology help requests.  It is also important that you fill out the request and not a tech person as our technology equipment inventory is tied to the work orders.

This will hold us responsible for responding to issues and will also help to document time and problems that arise.  Example:  You have had a problem with printing on 5 different occasions in 3 days.  This is obviously an ongoing problem that will need to be addressed in a manner different than they way we had earlier corrected.

Once a ticket has been submitted it will be immediately forwarded to your local tech staff.  They will correct the issue or forward the request on with additional information to the Technology Director or another member of the tech team for assistance.


 

Step 1: Click on the Technology Work Orders link on the Olympia home page.

 

 

This page will appear.  Enter your Olympia E-mail address and click submit.

 

Confirm your email address is correct and enter your last name.  (You will not see this screen if you are already in the system) Click Submit.

Enter your First Name and your extension in the phone number box.

Click Submit. 

Note:  You will only need to do this step 1 time.  The next time you log in it will fill in the information automatically for you.

 

Confirm the IT Request Tab is blue and the page reads Olympia Technology WorkOrders if it doesn’t click the IT Request tab

Step 2:  Select your location (building); Select the area that best describes the location from the Area drop down box.  Enter the Room Number that is listed above your door (In OHMS it is the complete number.  Example: 112/3 F2).

 

 

Step 3:   Scroll down a bit and click on the problem type that best represents your issue.  If you are unsure please click "unknown." 

Note:  If you have two separate problems (example:  Skyward access and e-mail) please open 2 separate tickets; complete this entire process two times.

Step 4:

Enter your problem or request.  Please describe the problem with as much detail as possible.  Simply stating my printer does not work is not very clear.  A better description would be:  "When I log onto the computer I get the following error message when trying to print from all applications: <error message text>".  If there is more than one computer in the room please specify which computer. (Teacher PC.)

Step 5:  Enter a time available for maintenance (best time for us to work on the problem)  Please note we may not always be able to perform the work at the time desired but will do our best.  (example:  11:30 – 12:00)

Step 6:  If applicable attach a file

Step 7: Enter Submittal password (see tech staff or principal for the password)

Step 8:  Click submit.

DONE!

 

You can log onto the site at any time and check the status of any work order you have submitted by clicking on the My Requests tab at the top.  Click My IT requests (under blue bar) to only view IT Requests.

 


You may also begin to search the Knowledge Base for tips on using and fixing technology.  We will begin to populate this area with items that may assist you in solving problems on your own and with How to Guides.

 

Click Search Knowledge Base (on the blue bar)

 

Scroll to the bottom of this screen and click Search Now or use the fields to limit the number of items returned.
